Overview

By using Docketwise's integration with MyCase, you can keep information from your contacts and matters/cases synced across both platforms.

How it Works

The integration works by syncing contacts and matters/cases across both Docketwise and MyCase. Below, you will find more information on what information is synced (Synced Attributes) and more details on how the integration works (Initial Integration & After the Integration is Activated).

Note: By default, the integration sync two ways (from Docketwise to MyCase and vice versa). However, if you wish to have only a one-way sync (from MyCase to Docketwise), this option can also be enabled; click here to learn more.

Synced Attributes

Synced Contact Information

  1. First Name

  2. Last Name

  3. Email Address

  4. Physical Address

  5. Mobile Phone Number

  6. Work Phone Number

Notes:

  • Email Address is a unique field in MyCase; if a contact in Docketwise already has an email address in use by a contact in MyCase, the email address will not be synced.

  • Company contacts cannot currently be synced via the integration.

  • For the contact's physical address, the Address 2 field syncs with the Apt/Ste/Flr Number field in Docketwise; therefore, it is recommended to maintain the Address 2 field in MyCase without the Apt/Ste/Flr descriptor.

Synced Matter/Case Information

  1. Matter/Case Name

  2. Matter/Case Description

  3. Matter/Case Contact(s)

Note: Matter/Case Name is a unique field in MyCase; if a matter from Docketwise has a duplicate name, the Docketwise Matter ID will be appended to the name.

Initial Integration

When you first activate the integration in Docketwise, the following will happen:

  1. The integration will look for matches between contacts on both platforms.

    1. In order for the contacts to be considered a match, they must have the same First Name, Last Name, and Email Address on both platforms.

  2. Any matching contacts will be synced between both platforms.

    1. If any synced contact information between the synced contacts is different, the information from the contact in MyCase will overwrite the information for that contact in Docketwise.

  3. If a contact in MyCase does not match any contact in Docketwise, it will be created in Docketwise and synced across both platforms.

  4. If a contact in Docketwise does not match any contact in MyCase, it will not be synced.

After the Integration is Activated

After the integration has been activated, updates in both Docketwise and MyCase will be reflected in the other platform. Below, you will find more information on how the updates made in each will be reflected via the integration.

From MyCase to Docketwise

Updates made in MyCase since the last sync will be reflected in Docketwise each night and/or when synced manually within Docketwise. If you wish to sync updates manually from MyCase to Docketwise, simply select the profile option in the top-right corner and select the Sync MyCase option.

Actions in MyCase that will be synced to Docketwise:

  • When a contact is updated or created in MyCase.

    • If the contact exists in Docketwise, the Synced Contact Information will be updated for that contact in Docketwise.

    • If the contact does not exist in Docketwise, the contact will be created with the Synced Contact Information in Docketwise.

  • When a case is created in MyCase, it is created in Docketwise.

  • When a case is updated in MyCase and exists in Docketwise, the Synced Matter Information will be updated for that matter in Docketwise.

From Docketwise to MyCase

Updates made in Docketwise will sync instantly and appear in MyCase once an update has been made.

Actions in Docketwise that will be synced to MyCase:

  • When a new primary contact is created in Docketwise, it is created in MyCase.

  • When a contact is updated in Docketwise and exists in MyCase, the Synced Contact Information will be updated for that contact in MyCase.

  • When a new matter is created in Docketwise, it is created in MyCase.

  • When a matter is updated in Docketwise and exists in MyCase, the Synced Matter Information will be updated for that matter in MyCase.

Notes:

  • Email Address is a unique field in MyCase; if a contact in Docketwise already has an email address in use by a contact in MyCase, the email address will not be synced.

  • Matter/Case Name is a unique field in MyCase; if a matter from Docketwise has a duplicate name, the Docketwise Matter ID will be appended to the name.

Saving Forms from Docketwise to MyCase

While utilizing Docketwise's MyCase integration, you can save your prepared immigration forms from Docketwise directly to MyCase with just a couple of clicks! These forms are saved directly to the synced contact's case in MyCase.

In order to save/sync forms from Docketwise to MyCase, you will need to follow the steps below:

  1. Open the completed forms in Docketwise that you would like to sync over to MyCase.

  2. Click the ellipsis button in the top-right corner.

  3. From this menu, select the option for Sync Form to MyCase.

  4. Select which forms and documents you want to be included in the smart form package and whether or not the PDF should be editable.

  5. Click the Sync button.

Once the sync is completed, the saved forms will appear under the related case's documents in MyCase.

Notes:

  • In order to be synced over to MyCase, the forms must be assigned to a matter in the Assemble tab. and this matter must be synced to a case in MyCase.

  • This option is not currently available for the Family Green Card Smart Form option.

  • If the integration was activated before May of 2023, you will need to refresh your integration for this to work correctly. You can do this by deactivating and then reactivating the integration.

How to Activate the Integration

In order to activate the integration, you will need to follow the steps below:

  1. Navigate to Settings > Integrations.

  2. Click the Activate MyCase button.

  3. Log in to MyCase (if not already logged in)

  4. Click the Allow button when prompted to authorize the integration.

If you wish to make the integration only a one-way sync, you can uncheck the checkbox for Two-Way Syncing.

Note: It is recommended that the user integrating the accounts have full permissions in MyCase for creating and updating contacts and cases. Otherwise, some actions may not be synced.
